Office Assistant
A. Bright Idea is currently looking for an Office Assistant to support office management and administrative needs in our Burbank, CA office. This fast-paced, high-volume environment requires the ability to listen and communicate clearly, effectively deliver timely, professional and accurate support through attention to detail and a positive attitude.

In this role, you’ll perform administrative work activities for the office and managers locally, with coordination with our headquarters office in Maryland, as well as our other location in Northern CA. This is a part-time position located in our Burbank, CA office.

What You’ll Do:

  • Assist in planning, coordinating and implementing administrative activities
  • Support planning and implementation of office needs and logistics, including supplies, services, subscriptions, etc.
  • Manage office supplies and office support vendors, schedules and payments
  • Coordinating schedules and office calendars for event and activity plans
  • Receives and screens telephone calls and visitors
  • Independently handle procedural and substantive matters and inquiries which do not require technical knowledge or refers callers to others as appropriate
  • Provide editing, database management and review/revising documents prepared by others, proofreading for grammatical, typographical and basic content errors (we are a Mac-based office – familiarity with Mac equipment and products is essential)
  • Creating reports as needed
  • Develop, implement and maintains paper and electronic filing systems, supporting office processes and procedures, sometimes handling confidential information
  • Research, analyze and summarizes information and source materials for tasks as assigned and reporting findings orally and in writing without error
  • Receive and read incoming correspondence and information, summarizing and prioritizing review of correspondence
  • Other duties as assigned

Requirements:

  • High School diploma
  • Skill in various computer software packages, such as Google Workspace, Word, Excel, Dropbox file sharing and organization, Internet, email and calendaring software
  • General knowledge of and skill in generally accepted office practices and procedures
  • Ability to communicate effective both orally and in writing, collaborating with various levels of internal management, employees and external clients
  • Ability to proofread and edit written documents
  • Ability to maintain the highest level of confidentiality and discretion in handling sensitive and/or proprietary material
  • Ability to understand and follow oral and written instructions
  • Ability to interact effectively with internal and external parties in a courteous and efficient manner
  • Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions
